Create a calendar event

The Create a calendar event robot adds an event to the selected employee's calendar in Bitrix24 (Alaio) business processes and robots. It takes a title, a start date and time, a duration in minutes, a description, a location, attendees and a reminder; it can also make the event all-day. It returns a Success Y/N flag, the ID of the new event and an error text.

The robot puts a meeting or a reminder straight into an employee's calendar without opening the calendar by hand. The calendar owner is any employee, for example the person responsible for the deal. The start is a date and time, including one taken from a card field or an expression such as now plus one day; the duration is in minutes, one hour by default. The event can be all-day and can carry a description and a location. When attendees are given, the event becomes a meeting and they receive an invitation. The reminder is a number of minutes before the start. Time is read the same way as in the workflow designer. Typical use cases: schedule a call to the client for the manager tomorrow; set up a meeting with the client once the deal reaches the Presentation stage; mark the contract end date in the calendar. It returns Success Y/N, the event ID — use it to find or delete the event — and an error text.

What errors can the robot return?

The robot writes these messages to the business process log when it cannot complete a step. The text tells you what to fix in the settings or the data.

  • Error: no calendar owner selected (departments and groups are not supported)
  • Error: the event title is empty
  • Error: could not parse the start date "{value}"
  • Calendar error: {message}

Scenario: a meeting after qualification

  1. A deal moves to the Meeting scheduled stage, and the card holds the meeting date
  2. The robot creates a 90-minute event on that date in the responsible person's calendar and invites the manager
  3. Both get a reminder 30 minutes before the start
