Get item comments

The Get item comments robot reads the timeline comments of a lead, deal, contact, company, estimate, invoice or smart process item in Bitrix24 (Alaio) and returns them to the workflow: as one string with the author name and date, as a list to loop over, as a JSON array and as separate fields for the latest comment. It can filter by author, by creation period and by the number of most recent records.

The robot reads timeline comments and passes them on through the process. The source is set by type and ID; an empty ID means the current item, so comments can be collected from the item at hand or from a related one. The output comes in four shapes at once because what people do next varies: the plain string with author and date fits a field or an email, the multiple value is looped over by the process, the JSON goes to an external system over HTTP, and the fields of the latest comment cover the most common question of all — what was written last time. Filtering works by author, by creation period and by number of most recent records; the count limit is applied last, to what already passed the other filters. One run scans up to 1000 comments and returns up to 200. Typical uses: put the discussion into a field for a report, send the thread to a manager, hand the comments to an external system.

What errors can the robot return?

The robot writes these messages to the business process log when it cannot complete a step. The text tells you what to fix in the settings or the data.

  • Type, item ID or smart process type ID is missing
  • Could not resolve the current item: run the robot in a process on a CRM or smart process item
  • Item not found or no read access
  • Bitrix24 error while reading comments, see the log for details

Scenario: send a manager the latest comments on a deal

  1. Add the Get item comments robot to deal automation
  2. Source: Current item, \'only the last N comments\' — 5
  3. As the next step send a notification using the Comments as one string result
  4. The notification carries the five latest comments with authors and dates
